Fontana Nominating Committee Charter

The Nominating Committee is a standing committee under the authority of the Fontana Owners' Association Incorporated (FOAI).
Purpose
The Nominating Committee has been established by the Board of Directors of FOAI to establish a slate of candidates for the annual election to the Board of Directors and oversee the election process.
Organization
- A Nomination Committee of no less than 3 people shall be appointed by the President of the FOAI.
- Committee membership shall be exclusive of current members of the Board of Directors. However, one or more shall ideally be former FOAI officials.
- Committee members shall serve a 2 year term, staggered to avoid expiration of all members' terms in any one year.
- A committee member must be a member of the FOAI, be willing to abide by all terms and conditions of the committee charter, have no limiting special interest when seeking candidates for the Board, be intelligent, mature with a positive attitude and be available for committee work and have an interest in participating.
Duties and Responsibilities
- Develop a list of potential candidates through a canvas of the subdivision.
- Ask each interested prospective candidate to submit a personal profile (if not already a current or prior member of the Board of Directors). Provide candidates with limited personal assistance with their profiles.
- Nominate at least one qualified candidate for each office.
- Members of the Association shall be notified of the Annual Meeting not less than ten, nor more than 60 days before the scheduled date of the meeting (as per Bylaws, Article 3, Section 3.03). Announce the names and profile of candidates via the meeting notification.
- Accept 'last minute' nominations at the Annual Meeting, as appropriate.
- Prepare an election ballot for the FOAI Annual Meeting.
- Recommend new Nominating Committee members and chair to the FOAI Board for approval at its September meeting.
- Maintain an on-going record of actions taken that shall be passed on to the new committee chair each year.
Nominating Committee Policies and Procedures
The Nominating Committee shall follow these policies and procedures. Changes and/or additions may be made by the committee without FOAI Board approval.
- The Committee chair or designee will preside at all meetings and serve as spokesperson when representing the committee.
- The Nominating Committee shall study and implement the election procedures as outlined in the Bylaws (Article III, IV and V).
- To develop its list of potential candidates, the Committee will submit an article for the Fontana Frontier Newsletter September edition, outlining the procedure for becoming a candidate and summarizing Committee duties and responsibilities.
- At the FOAI Annual Meeting, the Nominating Committee chair will introduce the candidates to the Fontana members. This person will call for nominations from the floor before closing nominations. Nomination Committee members will ensure that each Fontana residence has only ONE ballot and vote. All three Nominating Committee members will be involved in collection of ballots and tabulation of results. The results will be cross-checked. The results will be then turned over to the President for announcement of voting results.
